Job description

Quick context

We hired a PA in January 2025. One year later, she’s moving into our Advisory team. That says something.
We believe in internal growth: if you do your job well, take responsibility, and show ambition, doors can open here.
Right now, we’re looking for a dedicated right hand to our CEO — someone who’s excited to own & grow within this role over time.

The Role

Let’s be honest.
This role is hard to squeeze into a neat title. We’ve tried. We debated. We almost gave up.
Because this isn’t “just” a PA role.
You’re the right hand to our CEO & founder, Louis. And you’re the steady operational backbone of the wider team.

What You’ll Do

Own our management rhythm

  • Prepare, structure, and follow up on management team meetings

  • Build agendas and collect the right inputs

  • Ensure discussions lead to clear action points

  • Take and refine minutes (using AI where helpful)

  • Track who promised what — and by when

  • Follow through until it’s done

Nothing falls through the cracks. If it does, you signal it & take action

Be the operational right hand to the CEO

  • Manage and prioritise his pojects, his calendar and inbox

  • Have a daily check-in to align on priorities and decisions

  • Spot conflicts, missing preparation, and bottlenecks early — and solve them

  • Prepare some email, draft documents, overviews, summaries, and structured materials

  • Take responsibility to bring together the monthly reports

  • Ensure documents for signature are complete, professional, and properly communicated to clients/candidates

  • Keep visibility high — Louis should never have to wonder whether something is handled

  • Oversee Louis’ network and his external focus.

You create control. And that creates trust.

Guard the essentials

  • Maintain a structured overview of compliance, tax, reporting, insurance, and legal deadlines

  • Oversee the projects

  • Ensure responsibilities are clearly assigned and followed up

  • Improve systems so mistakes don’t repeat themselves

  • Think in processes, not patches

We value building structures that prevent problems — not fixing the same issue twice

Keep the office and team running smoothly

  • Organise office gatherings and internal events

  • Take care of the “little big things” — birthdays, celebrations, gifts

  • Arrange travel and logistics end-to-end (HR Operations & Payroll)

  • Ensure the office is always client-ready

  • Pick up ad hoc tasks — and close the loop

You see what needs doing and simply get it done.

Within 40 hours. If it doesn’t fit, we together reprioritise. We don’t believe in overtime as a system.

Job requirements

Who You Are (Personality First)

We care more about how you work than the exact title on your CV.

  • Execution-driven

You like ticking things off. Ideas are great — but someone has to implement them. That’s you.

  • Persistent & reliable

You follow through. You remind people (yes, even senior ones). You ask: “Where are we on this?”

  • Proactive

You don’t wait to be told what to do. You notice what’s missing and step in. You liaise and think before you act; checking in before you go is essential in the effectiveness of your role.

  • Structured, but not rigid

You enjoy clarity — calendars, lists, agreements — but you adapt when reality shifts.

  • Direct & honest

You communicate clearly and respectfully. You can push back when needed to protect priorities.

  • Service-oriented — without being servile

You like helping others succeed, while guarding your own workload and company focus.

  • Intellectually engaged

You want to understand what we’re building. You think beyond just execution — you understand context.

What You Bring

There’s no single “right” background, but it helps if you have:

  • Experience in a coordination-heavy, execution-focused role (e.g., Executive Assistant, Operations, Office Manager, Project Coordinator, PMO)

  • Strong organizational and prioritization skills

  • Advanced comfort with Microsoft 365 (Outlook, Teams, SharePoint)

  • The ability to structure digital environments logically

  • Excellent written and verbal communication skills

  • Fluency in Dutch (required) and strong English

  • Discretion and trustworthiness

What We Offer

  • 27 vacation days to truly unwind—with the option to buy more if you need extra time to recharge

  • Premium-free pension — fully covered by us, with a personalised consultation to help you understand and tailor your plan to fit your needs (and your family’s)

  • Education & Training – an excellent study program plus a personal annual training budget to support your growth

  • Flexibility: hybrid working, a great office in Amsterdam, and a healthy work-life balance

  • An open, diverse team with real collaboration

  • And yes, we do what we promise: you’ll stick to a healthy workweek within your contractual hours
